Terms and Conditions

Please read the following terms and conditions carefully.  You must not make any booking unless you are 18 years of age or older and understand and agree with the following terms and conditions. 

All reservations are subject to availability, cancellation fees and conditions apply.  Prices are subject to change due to currency fluctuations and seasonality.

Spa Wellness Travel does not own or manage the destination spas featured on the website.  Information and/or images regarding accommodation, facilities, services and the like have been supplied by the Spa Resort, Spa Wellness Retreat or the like.  Spa Wellness Travel shall not be liable for any discrepancy in the rooms, facilities, services or product available or described in the website or for any other errors or omissions and shall not be liable for any damages that result there from.

Bookings

All reservations are subject to change and price fluctuations until paid in full.

All reservations and payments have conditions and fees applicable to the destination spa, Spa Wellness Travel and principal of relevance. To proceed with a reservation a client reservation form is to be completed. 

Late reservation

A reservation with 7 days of departure is classified as a late reservation and will incur a $100 service fee.

Payments & Fees

Deposit

A $300 deposit per person is due within 5 days of confirmation and is non-refundable.  Another deposit amount maybe required if stipulated by the destination spa, principal or retreat facilitators.

Final / Balance

Final payment is due six weeks prior to departure. 

Other payment amounts or due dates may be required if stipulated by the destination spa, retreat facilitator, principal or the like other than Spa Wellness Travel.

Failure to receive payment by the due date may result in your reservation being auto cancelled or cost altered.

Direct bank payments

Direct bank payments are made to a client trust account, bank details advised with reservation confirmation.

Payments need to be in the bank account before the due date or bookings may auto cancel. 

Guest’s name and booking number are to be supplied in the description field. 

A payment remittance is to be emailed to book@SpaWellnessTravel.com.au

Credit card payment

Credit card merchant fee may apply. If a credit card payment is to be processed by Spa Wellness Travel the card holders credit card statement will advise payment from Travel With A Difference, who is the merchant for Spa Wellness Travel.

Amendment & Cancellation

Amendment fees

Any change to a reservation after confirmation has been advised and deposit receipted will incur a $50 fee.

Any change to a reservation after final payment has been received will incur a $100 fee.

Additional applicable charges, fees and altered costings will charged by the destination spa, retreat facilitator or principal for any amendment.

Cancellation fees

  • Deposit is non-refundable
  • Within 42 – 31 days of departure a loss of 50% of final payment will apply
  • Within 30 days of departure a loss 100% of final payment will apply      

Additional applicable charges or fees will apply from destination spa, retreat facilitator or principal for any cancellation. For clarification ask for further information at time of quote and/or booking.

Rescheduling

Be aware that for all airlines and land operators, rescheduling of confirmed services booked can apply at any time, before or after departure. The choice to reschedule a service is not that of Spa Wellness Travel, however before departure or whilst away we will endeavour to advise you of any changes made when possible. After departure, it is the traveller’s responsibility to reconfirm with any service provider, destination spa or principal in case of any rescheduling. 

Also, a Force Majeure may occur when conditions out of Spa Wellness Travel, a destination spa, retreat facilitator, principal or a supplier’s control affects traveller arrangements or components of. Reasonable care will be given to assist, but no guarantee or expected refunds or credits can be assured.

Relevant Before Travel

Special requirements

You must inform our consultants regarding any special requirements you may have for your travel arrangements such as special meal, dietary requirements, room type or accessibility prior to making a booking or at time of booking. If no special requirements are advised, no requirements will be acknowledged and Spa Wellness Travel or destination spa, facilitator or service provider or the like will hold no responsibility and the booking will be made on the basis of what was advised. 

Travel insurance

Comprehensive Travel Insurance is highly recommended when travelling within Australia and overseas. It is important to purchase the correct travel insurance policy for your requirements, so you are adequately covered and to inform the insurance provider of any pre-existing medical conditions.

All travel insurance becomes void if the Australian government declares a ‘Do Not Travel’ to a country and you must leave as soon as possible.

Visa and Travel warnings

A visa to enter a country may be required and is the responsibility of the traveller.  For a fee Spa Wellness Travel can arrange your visa. The cost of the visa and all relevant information as per the application is required.  If a passport is lost by a third party during processing, Spa Wellness Travel is not responsible for the replacement. 

Any visa required to enter back into Australia is the responsibility of the traveller.

Smartraveller is provided by the Australian government (Department of Foreign Affairs and Trade) where travellers can be informed and prepared before they travel.   For updated information on travel warnings and requirements visit www.smartraveller.gov.au

Passport

All overseas travel requires a valid Australian passport with at least six months validity from date of arrival into the country and several blank pages.  All travel documentation must bear the same name as per the traveller’s passport.

If travelling on a passport other than an Australian, it is the responsibility of the passport holder to ensure they are legally able to enter the applicable country.

Spa Wellness Travel holds no responsibility.

Medication/Medical conditions

It is advisable to consult your Doctor, Medical Practitioner or a Travel Medical Doctor regarding inoculation and your general wellbeing before visiting a Destination Spa or par-taking in a facilitated retreat, program or the like. Spa Wellness Travel is no way responsible for the medication or medical condition of any participating guests.

If you have a medical and/or a physical disability, it is your responsibility to check first with your medical practitioner to confirm if it is suitable for you to travel and participate in the service(s) applicable to your holiday/travel arrangements. Spa Wellness Travel can advise the service providers so they are aware of your situation. Depending on your medical and/or physical and/or mental condition the destination spa, facilitator or service provider or the like may require a letter from your medical practitioner clarifying your condition. It is the service suppliers’ right to make the decision if they can or cannot accept your participation in the package, program or other service(s) provided.  

Arrangements may be able to be organised for aided assistance with travelling, but Spa Wellness Travel will not be responsible for any support given by the third-party staff or medical support.

Responsibility

Spa Wellness Travel is no way responsible or liable for the operations of an airline, hotelier, destination spa, day spa, tour or transport provider or any other principal in the party of reservations that have been or being coordinated.

Travel documents

Travel documents will be posted or emailed to the guest or the preferred travel agent.  As a general rule, travel documents will be provided three weeks prior to departure, however this may alter if individual arrangements were made and confirmed. 

Travel documents must be read promptly and carefully up receiving them and Spa Wellness Travel advised immediately of any errors in names, dates or timings or the like to avoid implications of travel. Any amendments required will incur a fee.

General Information

Spa Wellness Travel responsibility is solely to arrange a booking of a product or service in accordance with your instruction and approval.  It is your responsibility to make yourself aware of all information that it is necessary or desirable to know in order to make optimum use of the Product/Service and to undertake travel generally.

Liability

To the extent permitted by law, we do not accept any liability in contract, tort or otherwise for any injury, damage, loss (including consequential financial loss including insolvency), delay, additional expense or inconvenience caused directly or indirectly by the acts, omissions or default, whether negligent or otherwise, of third party providers over whom we have no direct control, force nature or any other event which is beyond our control or which is not preventable by reasonable diligence on our part.  Liabilities for acts, omissions or defaults, whether negligent or otherwise, of airlines, car rental operators, ferry companies, hoteliers, tour operators, cruise companies, facilitator or any other service supplier is beyond the control of Spa Wellness Travel.  Under circumstances where our liability cannot be excluded and where liability may be lawfully limited, such liability is limited to the remedies required of us under applicable law (including the Australian Consumer Law). We disclaim any liability for any consequential loss, including loss of enjoyment or amenity.  This liability clause is subject to your rights under the Australian Consumer Law and nothing in these terms and conditions is intended to limit any rights you may have under the Competition and Consumer Act 2010 (Cth).

Definitions

“we” and “us” or “our” means Spa Wellness Travel and where the context permits, its employees or contract agents.

“consultant” means an employee or contract agents of Spa Wellness Travel, with authority to book Products.

“you” and “traveller” or “guest” means person/s who makes a booking for a Product promoted by us on this website, or elsewhere.

“your consultant” means the particular Consultant or Consultants with whom you conversed the booking of a Product.

“destination spa” – means spa resort, spa wellness retreat, spa hotel

“retreat facilitator” – means leader, instructor of retreat, workshop, program or the like

“supplier” and “service provider” – means a third party company or person who provides products, including a wholesaler of such Products.

“principal” – means travel and holiday related products and services including accommodation, leisure activities and various forms of transport, including packaged combinations thereof.

“travel documents” – means any document (whether in electronic form or otherwise) used to confirm an arrangement with a destination spa, principle, including (without limitation) airline tickets, hotel vouchers and tour vouchers.

“force majeure” – means, but not limited to: acts of God, accident, riot, war, terrorist act, epidemic, pandemic, quarantine, outbreaks of infectious disease or any other public health crisis, civil commotion, breakdown of communication facilities, natural catastrophes, adverse weather conditions, government acts or omissions, changes in laws or regulations, national strikes, fire, explosion and generalised lack of availability of raw materials or energy.
